For events and room reservations
Hotel Steinenschanze, Basle


1. Reservation
The reservation agreement and modification therefore regarding the services provided by the Hotel Steinenschanze, Basle, will only become binding for the hotel it they are confirmed or countersigned by the hotel and the ordering party. The specific services are based upon the reservation confirmation. If the guest registers additional guests, then he/she is liable for the full amount of the bill entailed as a result of the reservation.

For reservations that are made on the same day as the arrival, the reservation is binding at point in time in which it is accepted by the Hotel Steinenschanze Basle.


2. Options
Option dates are binding for both parties. Once the option period has expired, the hotel can make use of all rooms if a written order confirmation, which has been countersigned, is not present.


3. Arrival to and departure from hotel rooms
Unless another agreement has been made, the room can be occupied on the arrival date as of 2:00 pm. The room must be vacated on the departure day by 12:00 pm at the latest.


4. Number of participants at events
The customer agrees to provide Hotel Steinenschanze Basle with the final and binding number of participants in regard to group travel; at the latest, 48 hours before the arrival date. Permitted is a maximum 5% deviation lower than the number of participants notified. Deviations less than the number notified below 5% cannot be accommodated and the customer will be charged accordingly.


5. Cancellation of the reservation
Cancelations of group trips and overnight hotel accommodations must be notified to Hotel Steinenschanze Basel by the ordering party as soon as possible. If the reservation is completely cancelled by the event organiser, then the Hotel Steinenschanze Basle will charge the customer the following cancellation costs:

A) Group travel as of 10 people(Services – meals and accommodations)

Cancellation 30 - 16 days before the event: 50% of the reserved services
Cancellation 15 - 8 days before the event: 75% of the reserved services
Cancellation 7 - 0 days before the event: 100% of the reserved services
No-show: 100% of the reserved services

B) Individual travel up to 10 people(Services – room price, including breakfast)

Cancellation is possible free of charge until 6pm on arrival day.
Cancellation after 6:00 pm on the arrival day: 100% of the reserved services
No-show: 100% of the reserved services

Reserved hotel rooms (for individual travel), that are not occupied by 6:00 pm at the latest on the arrival date can be otherwise assigned by the hotel. This does not apply if a later arrival has been expressly agreed upon and if the reservation is guaranteed with a credit card number or a prepayment. A guarantee for a late arrival can also be made by the company that booked the reservation. In this case, an accurate address must be known.
This is not relevant for non refunable rates.

5.1. If the Hotel Steinenschanze Basle has justified reasons to believe that the event or arrangement could endanger the smooth operation, security or reputation of the hotel, then the Hotel Steinenschanze Basle is entitled to dissolve the reservation agreement at any time without compensation.


6. Payment modality
The Hotel Steinenschanze Basle is entitled to request a pre-payment, which partially or completely corresponds to the scope of the reservation. This applies in particular for larger events, or if the customer is not the same party of the event organiser. Unless some other provision has been made, the Hotel Steinenschanze Basle shall invoice the costs and expense incurred upon conclusion of the event or the arrangement. The customer agrees to pay invoices from the Hotel Steinenschanze Basle within 10 days of the invoice date, with no deduction. Overnight hotel stays by individual travellers are to be paid for before the guest’s departure.

If the guest’s company pays the costs of the accommodations, then the same conditions apply as for events.


7. Liability
7.1. Liability of the Hotel Steinenschanze Basle:
The Hotel Steinenschanze Basle is liable towards the customer in case of intentional or negligent contractual or non-contractual damages. The customer must prove the hotel’s fault. Liability is waived for damages caused by carelessness or responsibility without fault. The Hotel Steinenschanze Basle waives all liability for theft and damage to objects, clothing or material brought to the hotel by the customer, event hosts, speakers, participants or third parties.

7.2. The customer’s liabilityThe customer is liable to the Hotel Steinenschanze Basle for all damages and loss caused by him/her, their assigned parties or participants, without the need for the Hotel Steinenschanze Basle to prove the customer’s fault. The Hotel Steinenschanze is purely a non-smoking hotel. Should smoking take place in the room, then a special cleaning must be carried out. The customer will be charged CHF 100 for this cleaning service. Should overnight stays in the room be lost as a result, then 80% of the room price will be billed to the customer for each night.


8. Additional conditions
8.1. Any announcements in media (including newspapers, radio, television or the Internet) that make reference to an event in the Hotel Steinenschanze Basle must have prior, written approval by the Hotel Steinenschanze Basle.

8.3. Prolonged evening events are only possible with prior approval by the Hotel Steinenschanze Basle. If the event organiser anticipates that the reserved event duration will exceed the legal closing hours, then the customer must inform the Hotel Steinenschanze Basel as soon as possible (at the very latest, before the even begins), so that the required permits can be obtained. The event organiser will be billed for the costs of the permits.


9. Applicable law / Court of jurisdiction
Swiss law is exclusively applicable for all reservation agreements, the general terms and conditions and any existing supplemental agreements as well as the contracts upon they are concluded. The exclusive court of jurisdiction for all disputes arising from these business conditions is City of Basle. The Hotel Steinenschanze is owned by “Verein COMPAGNA Sektion Basel Stadt”.
